This Privacy Policy explains how Fit N' Fast Limited collects, uses and protects your personal data when you visit www.fitnfast-ems.com or buy from us. We are the "data controller" for the purposes of the UK GDPR and the Data Protection Act 2018.

2. What personal data we collect

Information you give us

  • Order details: name, billing and delivery address, email address, telephone number.
  • Payment details: handled directly by our payment providers. We never see or store your full card number.
  • Account details if you create an account: email address and password (stored encrypted).
  • Correspondence: anything you send us by email, contact form or phone, including complaints and returns requests.
  • Marketing preferences if you sign up to our newsletter.

Information we collect automatically

  • Device and usage data: IP address, browser type, operating system, referring pages, pages viewed and time spent.
  • Cookies and similar technologies — see section 7.

We do not ask for, and you should not send us, health information. Our products are fitness equipment, not medical devices, and we do not process health data as part of a sale.

4. Marketing

We only send marketing emails if you have opted in, or if you have bought from us and we are offering similar products (the "soft opt-in" permitted by the Privacy and Electronic Communications Regulations).

Every marketing email contains an unsubscribe link. You can also email contact@fitnfast-ems.com and ask us to stop. Unsubscribing from marketing does not stop transactional emails about an order you have placed.

5. Who we share your data with

We never sell your personal data. We share it only with the following categories of recipient, and only as far as needed:

  • Shopify — our e-commerce platform, which hosts this website and processes orders on our behalf.
  • Payment providers — to take payment and to check for fraud.
  • Carriers and delivery partners — to deliver your order and provide tracking.
  • Our accountants — for bookkeeping and statutory reporting.
  • Analytics and email providers — where you have consented.
  • Authorities or advisers — where we are legally required to disclose, or need to establish or defend legal claims.

All our processors are bound by contract to protect your data and to use it only on our instructions.

6. International transfers

Some of our providers are based outside the United Kingdom. Where your data is transferred abroad, we rely on UK adequacy regulations or on the UK International Data Transfer Agreement (or the UK Addendum to the EU Standard Contractual Clauses), so that your data keeps an equivalent level of protection.

7. Cookies

We use cookies and similar technologies to:

  • Make the site work — remembering your basket, keeping you logged in, securing checkout. These are strictly necessary and do not require consent.
  • Measure performance — understanding which pages are visited and where visitors come from.
  • Marketing — measuring the effectiveness of our advertising.

Non-essential cookies are only set if you accept them in our cookie banner. You can change your choice at any time through the banner, or by clearing cookies in your browser settings.

8. Your rights

Under UK data protection law you have the right to:

  • Access the personal data we hold about you;
  • Rectify data that is inaccurate or incomplete;
  • Erase your data, where we no longer have a reason to keep it;
  • Restrict how we use your data in certain circumstances;
  • Object to processing based on legitimate interests, and to direct marketing at any time;
  • Data portability — receive your data in a structured, commonly used format;
  • Withdraw consent at any time, where our processing is based on consent.

To exercise any of these rights, email contact@fitnfast-ems.com. We will respond within one month. We do not charge a fee, and we may ask you to confirm your identity first.

9. How long we keep your data

  • Order and transaction records: 6 years after the end of the financial year in which the order was placed, to meet HMRC requirements.
  • Customer account data: until you ask us to close your account.
  • Marketing consent records: until you unsubscribe, plus a short period to evidence the withdrawal.
  • Correspondence: up to 3 years after the matter is closed.

When data is no longer needed we delete it or anonymise it.

10. Security

Our website runs over an encrypted HTTPS connection. Access to customer data is restricted to people who need it. Payment card details are handled by PCI-DSS compliant payment providers and never stored on our systems.

No system is completely secure. If a breach occurs that is likely to risk your rights and freedoms, we will notify the Information Commissioner's Office within 72 hours and inform you where required.

11. Children

Our products are intended for adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us their data, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. If the changes are significant we will tell you by email or with a notice on the site.
